Who we are
This website, www.web-tronix.com, is run by Webtronix (“we”, “us”), a software company headquartered in Chicago, USA, with offices in London, Riyadh and Islamabad. We are responsible for the personal information collected through it. For any privacy question or request, email hello@web-tronix.com.
What we collect, and why
When you contact us or ask for a quote
The project brief, urgent-help and demo-booking forms ask for your name, email, phone number, company and what you need. We use these details to reply, prepare a proposal or arrange a demo, and to keep a record of what was discussed.
When you ask for demo access
To open a product demo we ask for your name, email, phone and company, and send a one-time code to your email to confirm it's yours. We use this to give you access and to follow up about the product you looked at.
When you chat with our assistant
The chat on this site is an AI assistant. We save the conversation, and any contact details you choose to give in it, so our team can follow up and improve the answers. Please don't share passwords, payment details or other sensitive information in the chat. Its answers are general information, not a quote or a binding offer.
When you apply for a job
Job applications include your name, contact details, the answers you give, your CV and a short video introduction you record. Only the people at Webtronix handling hiring can see them, and we use them only to assess your application.
When you browse
Like any website, our servers record basic technical details such as your IP address, browser and the pages requested, to keep the site running and secure. If you accept analytics cookies, Google Analytics and Microsoft Clarity also record how you use the site (pages visited, clicks and scrolling, device type and approximate location). Clarity hides what you type in forms. The Cookie policy lists every cookie.
Our legal bases
For visitors in the UK and the European Union, we rely on:
- Taking steps at your request before a contract, when you ask for a quote, a demo or apply for a job.
- Legitimate interests in answering enquiries, following up on demos and chats, and keeping the site secure.
- Consent for analytics cookies. You can withdraw it at any time with “Cookie settings” at the bottom of every page.
Who we share it with
We do not sell your personal information or share it for advertising. We use a small number of service providers who process it for us, under contract:
- our website hosting and email providers, which store the site's data and deliver our emails;
- Anthropic, which provides the AI model that writes the chat assistant's replies;
- Google (Google Analytics) and Microsoft (Clarity), only if you accept analytics cookies.
If you message us on WhatsApp, WhatsApp's own privacy policy applies to that conversation. We may also disclose information when the law requires it, or to protect our rights and the safety of others.
International transfers
Our team works across the USA, the UK, Saudi Arabia and Pakistan, and our providers may store data in the USA and other countries. When information about UK or EU visitors leaves those regions, we rely on the safeguards the law provides, such as standard contractual clauses.
How long we keep it
We keep enquiries, demo requests and chats for as long as we need them to respond and to follow up, and normally no longer than three years after our last contact. Job applications are kept for up to 12 months after the role is filled, unless you ask us to delete them sooner. Analytics data is kept by Google and Microsoft under their own settings, for no more than 14 months in Google Analytics.
Your rights
You can ask us for a copy of the personal information we hold about you, to correct it, or to delete it. Depending on where you live, you may also have the right to object to or restrict how we use it, and to receive it in a portable format. To make a request, email hello@web-tronix.com; we'll reply within one month. If you are in the UK or EU and unhappy with our answer, you can complain to your data protection authority (in the UK, the Information Commissioner's Office).
California residents: we do not sell or share personal information as those terms are defined in California law, and we will not treat you differently for using your privacy rights.
Security
The site uses encrypted connections (HTTPS), and access to the information you send us is limited to the team members who need it, each with their own login. No system is completely secure, but we take reasonable steps to protect your information.
Children
This website is for businesses and is not aimed at children under 16. We don't knowingly collect their information; if you think a child has sent us some, email hello@web-tronix.com and we'll delete it.
Changes to this policy
We'll update this page when the way we handle information changes, and change the date at the top. Questions are always welcome at hello@web-tronix.com.
